PENN ROSE quilt guild is a group of like-minded women that serve the community in many ways. Like any good organization, the guild is only as good as its leadership. This guild has been a major contributor to the community, and if it is to remain viable in the future, it is extremely important that people step up to fill open positions or upcoming positions. Unfortunately, this has become a problem. You may feel that you are not qualified to fill a position however, mentoring is always available, and most positions can be accomplished by committee of two or three people sharing responsibility. If the guild is to continue to be a viable group, serving our community, volunteers are necessary to make it work. Please consider a position as an officer, or as a chairperson of one of the standing committees. Our success or failure is in the hands of the members.
Each elected officer serves a term of two years. The President and the Secretary are elected in odd years and the 1st Vice President, 2nd Vice President, and the Treasurer are elected in even years. Elected officers can serve no more than one two-year term although these people may run for their position after taking a term off.
The Guild is governed by a Board of Directors elected from the membership. The Board of Directors consists of::
· President
· 1st Vice President
· 2nd Vice President
· Secretary
· Treasurer
i. preside over meetings
ii. chair and schedule meetings for the Board of Directors
iii. be an ex-officio member of all committees
i. perform the functions of the president in the absence of the president
ii. chair the membership committee
i. chair the program committee
· i Attend and record minutes of all general membership meetings and Board of Directors meetings.
· ii. Provide minutes to Network Chair to be included in the monthly email t the membership.
· iii. Be responsible for all general correspondence, including guild forms and Thank You notes for presenters and volunteers.
· iv. Maintain official copies of the Bylaws, Standing Rules, and other governing documents, updating them when necessary.
· v. Insure the latest versions of the Bylaws and Standing Rules are posted to the Guild website.
i. Maintain all bank accounts.
ii. Provide oversight for all financial transactions
iii. Chair the budget committee and report to the Board of Directors and membership on financial matters
iv. Prepare any required financial reporting forms
v. Maintain all financial and insurance records
Committee Chairs are chosen by the Board from within the membership and chair the following committees. The Board may add Ad hoc committees at any time to deal with a specific activity.
At Penn Rose Quilt Guild, our mission is to create a welcoming and inclusive space for members to meet, connect, and build meaningful relationships. We strive to foster a sense of community and belonging through a variety of events and activities.
The historian documents, the events and projects of the guild either by written documentation or pictures.
The hospitality committee provides members with snacks and drinks for our general meetings in order to promote camaraderie and socialization among the members.
Sunshine and shadow send get well cards, anniversary cards, birthday cards to members on special days. Sympathy Cards are sent to members who have lost immediate family members.
the Ways and Means committee shall have a goal of raising sufficient fudge to bridge the gap between anticipated income from membership and estimated expenses for the fiscal year,
Penn Rose quilt guild, publishes, a monthly newsletter containing guild news, upcoming programs, member birthdays, and other news pertaining to the art of quilting. The newsletter is generally disseminated the week before the upcoming meeting.
